Information collected about you

We do not collect any information about you when you visit our website unless you choose to contact us via the contact form when the information we collect is as set out in that form.

How we use your information

We use this information to respond to any enquiry in the most efficient manner possible. We will not use it to send you periodic marketing information.

We will never collect any unnecessary personal data from you and do not process your information in any other way than already specified in this notice. Monarch does collect data classed as “sensitive” such as health information or information related to criminal convictions.

If you give us information about another person, in doing so you confirm that they have given you permission to provide it to us and for us to be able to process their personal data (including any sensitive personal data) and also that you have told them who we are and what we will use their data for, as set out in this notice.

We do not use your data to make automated decisions where a computer makes a decision about you without a person being involved and we do not profile our customers - which means we do not make assumptions about you to help us treat you fairly.

Who receives your information

Your data will only be available to those Monarch staff who need to have access to it. Some data may be visible to our website provider.

We do not share your information with third parties unless there is a legal requirement or legitimate interest to do so, for example with business partners, co-insurers, reinsurers, doctors (for medical information), suppliers and sub-contractors in relation to the matter about which you contacted us.

We do not share your information with marketing companies, analytics or search engine providers or with any other member of the Monarch group of companies.

Where your information is stored and how it is kept secure

The data that we collect from you is not transferred to, or stored at, a destination outside the European Economic Area (“EEA”). It will only be processed by staff operating inside the EEA who work for us or for one of our business partners, co-insurers, reinsurers, suppliers and sub-contractors. Such staff may be engaged in, among other things, the processing and storage of your data and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing.

We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy notice and no transfer of your personal data will take place to an organisation or a country unless there are adequate controls in place including the security of your financial details and other personal information.

How long your information will be held

We’ll keep your personal information for as long as it’s considered necessary, for the purpose for which it was collected, and to comply with our legal and regulatory requirements.

In the absence of specific legal, regulatory or contractual requirements, any personal information is kept for our baseline retention period of seven years.

They allow us to improve our website and deliver a better and more personalised service to you. The Monarch website does not currently place any cookies onto your computer.

Our website may contain hyperlinks to third party websites for the convenience of users. You should not regard provision of such links as endorsement by Monarch of such third parties or their information. Monarch cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy policy. You should exercise caution and look at the privacy policy applicable to the website in question.

Your rights

You have rights under data protection law which are outlined below. The easiest way to exercise any of your rights would be to contact our Data Protection Officer at the contact details provided.  We’ll provide a response within 30 days, if not sooner.  There’s normally no charge for exercising any of your rights.

If any of your details are incorrect, inaccurate or incomplete you can ask us to correct them or to add information.

You have a specific right to object to our use of your information for direct marketing purposes, which we will always act upon.
  1. Restricting the use of your personal information
If you are uncertain about the accuracy or our use of your information, you can ask us to stop using your information until your query is resolved.  We will let you know the outcome before we take any further action in relation to this information.
  1. Right to Erasure

You can ask us to delete your personal information if we do not need to keep it for legal or regulatory reasons. For example, if we are using consent to process your information and you withdraw it, you can ask us to erase your information.

Complaints

If you’re unhappy with how we’re using your information, you have the right to complain to the Information Commissioner’s Office. We’d encourage you to contact us first, so we can deal with your concerns. Changes to our privacy policy

If we want to use your personal information for a new purpose which we haven’t previously told you about, we’ll contact you to explain the new use of your information. We’ll set out why we’re using it and our legal reasons.

Making sure that we keep you up to date with privacy information is a continuous responsibility and we keep this notice under review.  We’ll update our notice as changes are required.
